As an increasing number of tax and accounting professionals begin to develop a web presence, they may be overlooking the inclusion of a simple and valuable web-based tool—secure file exchange. Sometimes referred to as an “online file cabinet,” a file exchange portal is of particular interest in our current time of economic difficulty as it’s an inexpensive technology investment that improves productivity, client service, and saves YOU time and money.
In its simplest terms, a file exchange portal is a quick and efficient method of securely transferring bookkeeping documents, tax returns, and other financial documents from one computer to another. Read more...
Tax Freedom Day (War Stories of Tax Season)

So a new client walks into the office of a local CPA firm in the Midwest, a not-so-organized contractor/landlord/real estate guy who buys and sells and rents out not-so-great places. His records are terrible, so the CPA sits down with him and tries to put things together, running a trial balance.
“You made $475,000 last year,” the CPA says. All the blood drains out of the client’s face. He says that’s absolutely impossible, that he didn’t make that much money.
“What are we missing?” the CPA asks. “Do you owe anyone any money except people at these three banks?” Nope.
How about properties, is this list accurate? The client looks through the properties list and says, “You don’t have the fourplex on here. I paid $500,000 for it.” The CPA sighs and says, “Now your income is a million dollars.”
The client looks at the CPA and says, “Forget about the fourplex.”

There are rules governing socially acceptable behavior. Unfortunately, not everyone follows the same set of rules. In some places, fighting is acceptable, in other places, shouting is expected, and in other places everyone is courteous and polite and cares about the other person.
It is clear that being a competent professional is only one of the fundamentals leading to success. More and more, practicing socially acceptable behavior complements and enhances all business, technology and accounting skills.

After months of long, stressful days hunched over a computer, dealing with difficult clients and sorting through unorganized receipts, you’re ready to unwind. Come April 16, many accountants will take a well-earned vacation. But it’s not always easy to flip the switch and go from a constant-pressure mode to a Zen zone.
You already know that stress is bad for your health. It distracts you during the day, keeps you up at night and manifests itself in physical aches and pains. The stress that practicing accountants face can be more intense than that of other professions, in part because of the deadline pressure. Whereas people in other lines of work have various ongoing deadlines, much of some CPA’s work is due on a few specific single days. Until those times, pressure mounts; after them, it drops off precipitously.

Sales and Use taxes will become more important as the states look for new revenue in economic tough times. If you are using a software product to calculate sales tax, your risk is far lower. Some of the key products that do sales tax calculations are: Avalara AvaTax, CCH Sales Tax and SpeedTax. These products can be used with products from the low end market such as QuickBooks through the mid-market accounting software products. There are high end vendors such as Versatax and Sabrix and other vendors in this space as well. Most of these vendors either have, or will introduce, a Use Tax product this year.

Despite a lousy economy, it’s nice to see “leading edge” accounting firms acquire new business systematically, almost like there was no economic downturn at all. In fact, it’s great to see small accounting firms stick to their marketing plans and fight thru this economic storm like it did not exist.
At the same time, I have heard from some firms that pulled in the reins last summer and are now struggling with high client attrition rates in certain industry sectors (e.g., real estate, construction, manufacturing, etc.). In fact, I received a long email from a client earlier this month who pulled the plug on marketing last summer and is now trying to cry on my shoulder about how his practice had too many construction clients…blah…blah. And because the practice declined so quickly, he can’t really sell the practice for a fair price either. In response, he got some tough love from me back within the hour about how his marketing expense reductions cut into the bone and did not trim any fat. Much to my surprise, he agreed.

Back in the “olden days,” before most professionals learned to quit playing the silly game, it was an annual spring tradition for some idiot journalist somewhere to decide to “test” tax practitioners and publish the results under the guise of helpful consumer information. They’d deliver a pre-determined set of information to different tax preparers and then compare the resultant returns.
The information was always incomplete or questionable in some way and the “game” usually disallowed follow-up questions from the preparer. The published story was almost always flawed in the “tax analysis” area and trained professionals would wince at the simplistic explanations offered for truly complex situations. Eventually the idiot journalists (please forgive my obvious redundancy) ran out of victims and I have not seen the story in many years. Until today.Read more...

Technology Tools and Strategies for The Progressive Accountant
By Brian Tankersley
Technology should always be used to a competitive advantage and in alignment with your business goals. That will be the theme whenever you see me write, and that’s the idea behind this column on Document Management. Many of you think you are using document management, and at some level we all are. However, if you look around your home or office while reading this, and realize that you have paper everywhere, or worse yet, have disorganized electronic storage, you may have a problem.

There is probably something in humans and in every generation that makes us think that the problems we face are uniquely difficult. Much has been written about the economy and, if you accept certain assumptions from what you read, you might think that we are in the midst of a global depression. Yet, it is important to put the current economy in perspective. We might even try reviewing and analyzing some objective data.
