Implementing a Systematic Approach to Growing Your Practice

If you have a “systematic approach” to marketing, your firm’s growth will be far better than if you use the “fly by the seat of your pants” approach.  That’s because a systematic approach is more predictable and consistent in delivering the results you want.

Systematic Approaches Are Used Everyday

Each weekend while watching sports, we see leading athletes use a systematic approach to deliver consistent, and superior, results.  In basketball, the systematic approach to free throw shooting used by Steve Nash, Dirk Novitski and Jason Kidd is far more effective than that used by Shaquille O’Neil or Ben Wallace.  In golf, Tiger Woods and Phil Michelson use a systematic approach for every single shot.

Document, Forms, Content & Knowledge Management

Life can be funny at times. For the past five years or so, those of us who inform, educate and advise accounting professionals have been beating the drum about the virtues of “going paperless.” Well I just returned from a conference of CPA firm IT directors, where I facilitated a panel discussion on electronic document management systems (EDMS).  I was only half surprised to hear a number of the participants complain that despite having implemented an EDMS, they are printing more paper than ever before.  There is nothing like the real world to screw up a good theory!

Why Most Accounting Firm Web Sites Fail

Seven Important Things About Your Website

According to current polling information, only 57% of accounting firms have a website.  Or said another way, 43% of accounting firms do not have a website. It’s scary to me that in today’s day and age 43% of accounting firms do not have a website.

I have visited over two hundred accounting firm websites and in so doing I have identified the most common mistakes firms make with their websites.  Overall, the quality of websites in the marketplace has improved dramatically as mid-sized firms have really gotten on board and made sizeable investments over the past few years.  But there are many significant mistakes that remain common. Here are the top seven:

Avoid SEO Firms That Guarantee Results

Many shoddy search engine optimization (SEO) firms solicit their services by guaranteeing top placement in the search engines.  We’ve all received the unsolicited email messages (spam) about how they can move your website into the top position in no time at all.

WS+B’s Experience with Tax Document Automation

As we migrated from a manual to an all digital environment on the tax side of our practice, it was only natural that we moved into the area of tax document automation.  Tax document automation is viewed as the ability to populate tax preparation software, automatically (with little or no human intervention) from a digital image of a source document such as a W-2, 1099, K-1, 1098, etc.

Staying Connected on the Go

While most of us have a cell phone, many of us have not looked into using a cellular modem, or "air card" to connect a laptop or other mobile device to the internet.  The performance and pricing of these devices has improved substantially over the last five years, and in some areas, the speed rivals that of broadband connections such as DSL.

I was reminded of the gains mobile connectivity has made in the last few years last Friday when I took a conference call in my car using my cell phone, netbook, and my EVDO modem using Microsoft LiveMeeting.  When this important meeting ended, I was able to walk out and take my place with the coaches and other parents on the T-ball field without missing the action.  (Go team!)

Remote Computer Security in Windows Server 2008

This time of year is one of introspection for many accountants as we evaluate what went right and what went wrong during the season.  For many firms, the focus quickly narrows to the firm’s technology.  For many firms, the performance of the technology is troublesome for the firm and we endeavor to make improvements to enhance our productivity.  For our firm, this tax season has been the most trouble free and technologically productive tax season in a long time.  Some of this stability was due to solving or finding workarounds for several issues which affected individual applications, but a large part of it, in my opinion, was due to a 2008 year end server upgrade which implemented Windows Server 2008 on most of our servers.

At this point, your thoughts might be wandering about whether this article is actually going to be about remote computer security in Windows Server 2008.  It is, but in order to understand the benefits of the security improvements, it is important to have an understanding of the overall benefits of Windows Server 2008.

"Good enough" vs. "I need the best"

Is “good enough, and cheap” taking over for “I’m a professional and I need the very best tools”? Does the economy of 2009 mean that much change in our habits? I’m experimenting today.

As many of you know, I spend 125 days traveling every year --- that’s a lot of airplanes, a lot of hotels, and a lot of laptop lugging. Well this trip, instead of carrying my beloved MacBook Pro (a gorgeous piece of corporate jewelry with all the horsepower and flexibility one could ever want) I have a little 2 pound wonder that sells for about 1/10th of the cost of the MacBook Pro. Today I’m sitting on an airplane with a $325 MSI Wind netbook. I saw this device in January at CES and was instantly taken (like thousands of others) by its diminutive size. Will the combination of dirt cheap, super convenient sizing and just over adequate performance be a hit? Time will tell. I’ll know more in a few days.

Do I Need Search Engine Optimization (SEO) for My Website?

It depends.  SEO is used by companies that want to get prospects through their website and convert them into new clients.  If you have a full practice and don’t want new clients, SEO is not necessary!

However, if you are looking to build your practice, SEO is a great resource that will only become more and more relevant in the future.

Definition:  SEO is a way to optimize your website’s performance on search engine rankings like Google, Yahoo! and MSN.  There is a lot of intensive programming that goes in to it, but SEO companies take care of that for you and its all “back-end,” meaning that the appearance and content of your website will be unaffected.  They will build links that go to your website, submit your site to all the major search engines, submit your site to directories and use many other strategies to gradually bring up your ranking.

Why Your Firm Should Implement Client Portals

As an increasing number of tax and accounting professionals begin to develop a web presence, they may be overlooking the inclusion of a simple and valuable web-based tool—secure file exchange.  Sometimes referred to as an “online file cabinet,” a file exchange portal is of particular interest in our current time of economic difficulty as it’s an inexpensive technology investment that improves productivity, client service, and saves YOU time and money.

In its simplest terms, a file exchange portal is a quick and efficient method of securely transferring bookkeeping documents, tax returns, and other financial documents from one computer to another. Read more...
