Messaging is all over our universe – text, twitter, social, and even voice. Making use of this in a business context is under investigation by many sources. Most business use of text messages today centers on brand awareness from large companies selling consumer products. This is an extension of advertising campaigns.
A new service harnesses the text messaging platform for potential uses by CPAs on a business or personal basis. Cherple, www.cherple.com, provides a facility to develop truly interactive text messaging to and from mobile phones. In addition, the text message can even be sent from a computer by accessing Cherple’s website and sending a text message to a cell phone.
CPAs should always explore how to communicate with clients and staff in new and creative ways. For example, personalized text messages can replace blast emails that never get read. Sending a short message enables the receiver to respond and automatically receive an immediate follow on message with text and/or images. This process can facilitate sending images of tax or regulatory forms when the client is away from their computer. Alerts about emergencies requiring immediate response can be set up easily.

One of the great things about Web site developers that work specifically within the accounting profession is that
they provide Web content for you. By incorporating things like tax forms and calculators, they provide your clients with a more dynamic and useful web experience. However, this content is rarely date specific and thus often “out-of-date.” While some Web site providers refresh the content periodically, others do not. For those that don’t, a great way to incorporate fresh and automatically updated content is through RSS feeds.
Older Versions of QuickBooks Taking Up Too Much Space

In my last blog, I wrote about how to help those who just can’t seem to give up their old QuickBooks files. Some can’t give up their older editions of QuickBooks either which makes it hard for us to serve these clients since we don’t want to support multiple years and editions of QuickBooks on our computer systems. Maintaining older editions on your computer system can take up valuable space which is badly needed and can cause QuickBooks to move slowly. You may choose to uninstall the older versions by going through the control panel. If an error message appears that you’re missing a component - What do you do?

Some people just can’t part with their high school yearbooks and old love letters, or… their old QuickBooks® files. Have you seen clients with QuickBooks files dating back more than 5 or 10 years? The archive function in QuickBooks can help with this – find it under the File Menu, Utilities, Clean Up Company Data. Running the Clean Up Company Data utility does not officially reduce the size of your file, however, this is what it can do - it will Verify Your Data to make sure there are no errors in the QuickBooks File database and remove old transactions that you don’t need anymore. Make sure you back up your file and verify your data first – before doing anything!

Ten years ago if I’d have presented this idea to a group of practicing accountants I’d have been run out of the room: “Let’s take your most sensitive client data, including social security numbers, bank account numbers, financial statements, tax returns, etc. and put them on the Internet.” It simply wasn’t going to happen. But over the past several years technology seems to have assuaged all but the most Luddite-like resisters and I commonly get this question: “We need to get our data backed up safely and securely on the Internet so we know it safe and always available for access or file restoration. Do you have any suggestions?” Answer: “Well, yes, actually I do.”

This intrigues me --- a sub $100 dollar “works right out of the box” device that automagically shares a USB drive (or two, or three) securely, over the Internet. Have you ever documented your firm’s business processes? Documenting and improving your business processes will help your firm operate more efficiently and lead to greater staff productivity. In addition, business process documentation can be of great importance if you need to build a disaster recovery plan.
If you are interested in documenting your firm’s business processes, I recommend you purchase and learn either Microsoft Office Visio 2007 or SmartDraw 2009. You can use either product to quickly draw a visual representation of your business processes using the flowchart templates included in the software. Also, each product has numerous other templates that can be used to draw network diagrams, floor plans, organization charts and brainstorming diagrams.
